Settings and Account

Configure your business profile, manage your team, and control your subscription.

Business Profile

In Settings, configure all your core business information:

Business details – name, address, contact details

VAT registration – VAT number and scheme

CIS status – construction industry scheme

UTR number – unique taxpayer reference

Accounting method – cash or accruals

Tax region – England, Scotland, Wales, NI

Invoice Defaults

Set defaults so every invoice is consistent: default currency, payment terms, due date offset, invoice notes, payment instructions, number prefixes, template style, and brand colour.

Payment Reminders and Late Fees

Payment Reminders: Enable automatic payment reminders and configure the schedule (e.g. 7, 14, 30 days after due date). Never chase a late payment manually again.

Late Fees: Enable automatic late fee calculation with percentage or fixed amount, rate, and grace period.

Team Members and Roles

Add team members with role-based access.

Owner

Full access to everything. Cannot be removed.

Admin

Full access to all features.

Accountant

Read-only access to financials. Can write journal entries and expenses.

Staff

Can manage invoices, quotes, expenses, clients, and projects.

To invite a team member, go to Team in the sidebar, click Invite Member, enter their email and assign a role. They receive a secure invitation link.

Essential plan: 1 user. Pro plan: 2 users with the option to add more.

Online Payments (Stripe)

Let clients pay invoices online by card.

1Go to Settings then Payments
2Connect your Stripe account
3A Pay Now button appears on shared invoice links
4Clients can pay by card directly from the invoice
5Payments are recorded automatically in Mint Books

Accountant Access

Give your accountant read-only access to your books without sharing your login details.

1Go to Accountant Access in the sidebar
2Click Create Access Link
3Share the link with your accountant

They can view invoices, expenses, reports, VAT returns, and the audit log. They can export data as CSV spreadsheets. They cannot create, edit, or delete anything.

All plans include a 14-day free trial with all Pro features. Cancel any time. Manage your subscription in Settings under Subscription Management.

Data Export and Backup

Export your data at any time in CSV, Excel, Accountant CSV (formatted specifically for your accountant), or PDF.

Full Backup: Go to Settings then Backup, click Download Backup. A complete backup of all your data is downloaded. Backups can be restored if needed.

Automations and Webhooks

Automations: Set up automated workflows with triggers (invoice created, invoice paid, payment received, expense created, bank transaction imported) and actions (set VAT rate, categorise, add tag). Every execution is logged.

Webhooks: Connect Mint Books to other apps. Create webhook endpoints, choose events to subscribe to, view delivery logs and retry failed deliveries. Pro plan only.
